Program Compliance

PEIMS 163 import will provide most of this information from the beginning.
Students from this initial import will be given the “Active” status.

Statuses: Active, Initial, Private/Home, Transfer, Referral--all allow you to add forms.

Transfer
  • Student who moves to your district and already qualifies for sped.
  • Stays the status for the student all year long (only exception is if they are an out of state transfer and are being evaluated, then they will automatically change to Initial or Dismissal, depending on the outcome of the evaluation).
  • With rollover in the summer, this will automatically change to Active.
Referral
  • Student referred for an evaluation, but has not yet had an IEP meeting.
  • Upon lock of meeting with an eligibility condition, status will automatically change to Initial.
  • Upon lock of meeting with no eligibility condition, status will automatically change to DNQ.
Initial
  • Will stay Initial status all year long
  • With rollover in the summer, this will automatically change to Active.
DNQ
  • Upon lock of the initial meeting with no eligibility condition, status will automatically change to DNQ.
  • DNQ stays the status for the student, even after rollover.
Active
  • Students who were here and receiving services last year, and they are here and receiving services again.
  • New clients: Initial bulk import of students will all have active status.
Parent Declined Eval
  • Referral student, parent declined the evaluation.
  • Parent checks no to giving their permission for testing on consent.
  • When the consent is locked, the status will automatically change to parent declined evaluation.
District Declined to Evaluate
  • Manual Entry: check the box under Indicator 11 that the district declined to evaluate.
  • This automatically changes the status to district declined.
Parent Refusal
  • Referral, established the student qualifies, but parent decides they do not want services.
  • Complete and lock the IEP first. (This will change the status to Initial to complete the Indicator 11 process)
  • Then complete and lock the Decline Special Education Services Form
  • Status will automatically change to parent refusal.
Private/Home
  • Completion of a Service Plan, automatically triggers this status.
  • This can also be manually entered if you initially evaluate a student, present an IEP and the parent declines in lieu of private/home services.
  • You would want to complete and lock the ARD, allowing the student status to change to Initial. Then you can change the status from Initial to Private/Home. In the ARD deliberations, you can outline the services that would be provided to the child through your district’s private/homeschool plan.
Dismissal
  • Any IEP meeting that is locked for an Active student without an eligibility condition.
  • An out of state transfer student who you have evaluated and found to no longer be eligible. Upon lock of their IEP without conditions, would change to dismissal.
  • Keep this section in mind on Briefs and Amends when you are new to the system and these sections may not yet be populated in an IEP form.
Parent Revocation
  • Student who has been receiving services and parent revokes.
  • Complete the Parent Revocation of Special Education Services Form
  • Upon lock of this form, the status would automatically change.
Drop Out
  • Student is no longer going to come to school or receive services.
  • MANUAL CHANGE
  • Must also enter a services start date
Graduated
  • MANUAL CHANGE if the student is not graduating at the same time as age level peers.
  • If entered manually, must also enter a services start date.
  • Automatic status change for 12th graders with rollover in the summer.
Withdrawn
  • MANUAL CHANGE
  • Left before the school year starts or No show on first day.
  • Put the first day of school for the services start date.
Moved
  • MANUAL CHANGE
  • Received services for the current school year but left during the year.
  • Put the date that is in your SIS for the date left the district as your services start date.
Not Active
  • Example: Student who has had consent waiting for a long period of time.
  • MANUAL ENTRY
  • Services Start Date for when you moved the student from previous state to Not Active.
Not Enrolled
  • Track students for reporting purposes, but the student is not enrolled.
  • I.e. they are private or home school and do not have a service plan.
  • MANUAL ENTRY
  • Must have a services start date (can match your SIS for date the student was no longer enrolled).
Other
  • Any other scenario not covered above
  • One example: Students who have passed away
  • MANUAL ENTRY
  • Services start date for when they no longer received services.

 Pro Tip:

Remember, changes to the status in Program Compliance can trigger PEIMS incidents.

If you need to make changes or corrections to student forms for a student who has been changed to one of the non-active statuses, you can TEMPORARILY change the student status to “Not Enrolled”. This will allow you to do what you need to do without triggering a PEIMS incident. You will need to go back and change the student status back when you are done, leaving the services start date the same as it was previously.
