Changing Parental Permission Codes for Monitor Students

This article explains how EB/EL (Emergent Bilingual/English Learner) status automatically updates during the new school year rollover and how to run the “Bilingual/ESL Record” report to verify Parental Permission Codes. Use this process to ensure student data is accurate and compliant at the beginning of the school year.

At summer rollover, the system updates student EB/EL statuses automatically.

Locked ELL Plan Behavior

For students with a locked ELL plan, the "Next Year EB/EL Status" becomes the "Current EB/EL Status."

This ensures that student program statuses carry forward into the new school year.

Run the Bilingual/ESL Record Report

Use the “Bilingual/ESL Record” report to review student EB/EL data and Parental Permission Codes.

Report Overview

The report includes:

  • Student list
  • Last meeting date
  • EL status
  • Primary language
  • Program type
  • Parental Permission Code
  • Immigrant code

Note: These fields are populated when:

  • The ELL plan is locked, or
  • Data is entered manually

How to Access the Report

  1. Navigate to Programs – Bilingual/ESL.
  2. Select Bilingual/ESL Record Report.

Recommended Report Parameters

In addition to selecting District and Campus, use the following filters:

  • Program Status:
    • Bilingual/ESL – Active
    • Bilingual/ESL – Denial
  • Grade: Select as needed
  • Student: All
  • EB/EL Status: All
  • Meeting Type: All

Check EB/EL Status and Parental Permission Codes

After running the report, review each student’s record for accuracy.

Validation Rule

A Parental Permission Code of “G” is only valid when EL Status = F – Monitored 1.

If this condition is not met, remove the Parental Permission Code.
