This article describes how to access the "Program Compliance" tab in the SuccessEd application. Basic functionality of the "Bilingual/ESL" section of the "Program Compliance" tab is also reviewed.

Accessing Program Compliance

Option 1: From the Home Screen

  1. Click on Students in the top navigation menu. students tab.png
  2. Enter the student’s last name, first name, date of birth, or student ID on the "Select a Student" screen. select student.png
  3. Click the yellow pencil Edit icon beside the student’s name to gain access to the "Edit Student Information" screen. program compliance.png
  4. Click on Program Compliance.
  5. Click Bilingual/ESL to jump down to the "Bilingual/ESL" section.

Option 2: From the ELLA Student Forms Screen

  1. Click on ELLA in the top navigation menu. ella tab.png
  2. Enter the student’s last name, first name, date of birth, or student ID in the student search box. A drop-down containing the search results appears. search results.png
  3. From the search results, select the student by clicking on their name.
  4. Click Edit Student Information to gain access to the "Edit Student Information" screen. edit student .png

  6. Click Bilingual/ESL to jump down to the "Bilingual/ESL" section.

Status

Note:

  • All statuses require manual entry on the Program Compliance tab.
  • Students must have a checkmark by "Bilingual/ESL" in the "Accessible in the Following Programs" section in the "Enrollment" tab for the user to create forms.

A status of "Active" or "Denial" is considered an "active" status in the application and allows the user to create or edit forms for the student.

  • Active: This status includes students who receive Bilingual or ESL instruction, as well as students who have been reclassified and are in their monitor years.
  • Denial: Students whose parents have denied services.
  • DNQ: Students who did not meet eligibility requirements to receive Bilingual/ESL services.
  • Not Active: Student did not enroll after completion of eligibility requirements.
  • Withdrawn: Student who has left the district.

Date Entered District

This date pulls from the "Enrollment" tab. Any editing needed for this date should be completed on the "Enrollment" tab.

If Transfer, 28-Day Timeline

This date autocalculates from the 'Date Entered District" field for current school year enrollments.

Meeting Date

This date field autopopulates upon lock of the EB plan.

Exit Date

This date field autopopulates upon lock of an EB plan when the "Meeting Type" of "Exit" is chosen on the title page of the plan.

Parent Permission Code

This code must be manually entered for the student in either the "Program Compliance" tab or the "Parent Permission" bulk entry screen. The code cannot be entered on the EB plan as it is a read-only field. When a student transitions to his/her first monitor Year, the parent permission code must be removed from the "Program Compliance" tab, unless the "Parent Permission Code" of "G" is applicable for the student.

Parent Permission Date

This date must be manually entered for the student in either the "Program Compliance" tab or the "Parent Permission" bulk entry screen.

Immigrant Code

This code must be manually entered for the student in the "Program Compliance" tab.

Bilingual Code

This code autopopulates from the student’s last locked EB plan if they are noted to receive Bilingual services on the "Recommendations and Signatures" page.

ESL Code

This code autopopulates from the student’s last locked EB plan if they are noted to receive ESL services on the "Recommendations and Signatures" page.

Alternative Language Program

This program code must be manually entered in the student’s "Program Compliance" tab.

Years in US Schools

  • When a student newly enrolls or qualifies to receive Bilingual/ESL services, the "Years in US Schools" must be manually entered for the student in the "Program Compliance" tab.
  • After that initial entry, your "District Administrator" may have chosen to enable a customization feature that automatically advances the "Years in US Schools" for each active student during summer rollover.
  • If your "District Administrator" has not enabled the customization for automatic advancement during summer rollover, then each student’s "Years in US Schools" would need to be manually updated every school year in the "Program Compliance" tab.
