Verifying Student English Learner Status

This article explains how to reconcile student English learner (EL) status data using Custom Reports in SuccessEd. Follow these steps to identify discrepancies in EL status, filter student data by program participation (such as Special Education, Bilingual/ESL, Section 504, or RTI), and export results for correction in SuccessEd or your Student Information System (SIS). This process helps school districts maintain accurate compliance records and ensure student program data is up to date.

Generate a Custom Report for EL Status Review

Follow these steps to create a report that includes key student, enrollment, and status data needed to review EL status:

  1. Hover over Reports and select Custom Reports.

  2. Configure the report fields using the following selections:

    • Student
      • Last Name and First Name (default)
      • Primary Language
      • EL
    • Parent
      • No selections
    • Enrollment
      • Grade
      • Current Campus
    • Compliance
      • No selections
    • Status
      • Select only one status option per report.
      • Examples: Special Education, Bilingual/ESL, Section 504, RTI
      • You may run multiple reports for different status types
  3. Click View to generate the report.

Apply Filters to Refine the Report

After generating the report, a new section will appear at the bottom of the screen. Apply the following filters to narrow your results:

Filter by Program Participation

  1. In the "Status" column (far right), click the filter icon.
  2. Select NotIsNull.
  3. Do not enter any text in the filter box.

This removes students who have never participated in the selected program.

Exclude Inactive Campuses

  1. Identify the name your district uses for inactive campuses (for example, “Inactive” or “Beyond”).
  2. In the "Current Campus" column:
    • Locate the inactive campus name (you may need to browse multiple pages).
    • Copy the campus name exactly.
    • Paste it into the filter text box.
    • Select DoesNotContain from the filter options.

This removes students assigned to inactive campuses.

As filters are applied, the total student count (bottom right) will decrease.

Export and Continue Filtering in Excel

  1. Click the Export to Excel icon (above the "Student ID" column).
  2. In Excel:
    • Locate the "Current Campus" column.
    • Apply a filter and deselect Training School.

This further refines the student list.

Filter by Active Program Status

In the "Status" column (column name varies by report type), filter to include only the following:

  • Special Education: Active, Initial, Private/Home, Transferred
  • Bilingual/ESL: Active, Denial
  • Section 504: Active
  • RTI: Active

Apply Additional Filters for Data Review

Continue refining your dataset using additional filters as needed. Recommended columns include:

  • Current Campus
  • Grade
  • EL (English Learner status)
  • Student Last Name

Reconcile and Correct Data

Use the filtered report to:

  • Identify inconsistencies in EL status
  • Verify program participation
  • Make corrections in:
    • SuccessEd
    • Your Student Information System (SIS)
