Section 504 Student Statuses

Districts should periodically verify that students who are no longer participating in the Section 504 program are marked correctly in the system. Students who are no longer receiving Section 504 services should have their status updated to "Not Active" on the “Program Compliance” tab.

Maintaining accurate Section 504 program status ensures that district records, compliance documentation, and reports reflect the correct list of active students.

Checking for Students No Longer Active in the Section 504 Program

Confirm that students who have exited the Section 504 program are marked "Not Active" on their “Program Compliance” tab.

The following table outlines common scenarios that result in a change to Not Active status.

ScenarioStatus Change on Program Compliance to Not ActiveRequirements
Student has moved or withdrawn from your district.Manual status changeThe district must manually update the “Program Compliance” status to "Not Active."
Student is no longer eligible for Section 504 services.Automatic status changeThe “Section 504 Evaluation” form must show an evaluation decision of "Not 504 Eligible," and the form must be completed and locked.
Student becomes eligible for special education services.Automatic status changeThe “Section 504 Evaluation” form must show the evaluation decision "IDEA Eligible" and "504 Dismissal," and the form must be completed and locked.

Updating these statuses ensures the student is no longer counted as an active Section 504 participant in district reports.

Checking Active Section 504 Students

District staff can generate reports to review students currently marked as "Active" in the Section 504 program. These reports can then be compared with student lists from the district’s Student Information System (SIS) to verify accuracy.

The following reports can be used to review active Section 504 students:

  • Student Campuses and Grade: Select Program Status = Section 504 – Active
  • Student Directory: Select Program Status = Section 504 – Active

These reports provide a list of all students currently identified as active in the Section 504 program.

Pro Tip: Run Section 504 status checks regularly throughout the school year instead of waiting until the beginning or end of the year. Routine monitoring helps districts keep program participation records accurate and up to date.
