Document Distribution Report

This article provides instructions to verify that staff have viewed student plans. Begin by clicking ReportsDo not click on "Custom Reports".

Click the plus sign corresponding to the Administrative folder to open the folder and reveal the available report templates.

Select the Document Distribution report by clicking on its title. Then click Run Report.

The following table describes the "Document Distribution" report parameter fields.

Field Description
District Defaults to your district ISD.​ 
Campus All campuses assigned to you in SuccessEd are available. If you only have access to one campus, that is all that is available. If you have access to multiple campuses, you can generate this report for one campus or more than one campus.
Student All students for the selected campus are available. You can generate this report for one or more than one student. 
Staff Name All staff members for the district are available. You can generate this report for multiple staff members or a single staff member.
Recipient Select "All" or "Teachers". Selecting "Parent/Guardian" does not provide information as the district does not currently utilize the parent portal feature of our system.
Academic Year This field defaults to the current academic year. The previous academic years can be selected. 
Document Status You may choose to see if a student-specific link was generated by your meeting facilitator, as well as what staff have viewed and/or printed from the "Student Services" screen. "Select All" includes everything that has occurred for the students you have selected.

Click View Report after choosing the report parameters. 

Example

The image of a report depicted below was generated using the parameters depicted. The parameters include one specific "Student", all staff, teachers as the "Recipient", and a "Document Status" of ‘Select All’.

The following is a sample of entries that appear on the report with these parameters.

The report indicates all of the following.

  • If selected staff members have viewed the "Student Services" screen, as well as a date/time stamp of when that viewing occurred. Multiple viewings are captured.
  • If selected staff members have printed any plans from the "Student Services" screen. Multiple print selections are captured.
  • If selected staff members were in the facilitator role, the report indicates that a link was generated to send to teachers to alert the teachers to the fact that a plan had been updated. Multiple link generations are all captured.

Clicking on the drop-down arrow beside the save button allows you to export the report to CSV, Excel, Word, or PDF format.
