The "Staff Information Report" provides a list of users who have registered in the SuccessEd application, whether the user is activated or deactivated, and a list of their assigned campuses, products, and roles. A list of users who are missing these assignments is also provided.
Generating the Staff Information Report
The report can be found by hovering over the "Reports" tab and then clicking Reports.
Click on the plus sign corresponding to Administrative to open the folder so you can view all reporting templates available to you. You must have the role of "Administrative [Reporting]" assigned to you to view "Administrative" reports. This user role can be assigned via the "District Admin" tab.
Click Staff Information.
Next, click Run Report.
Selecting Report Parameters
The following image depicts the report parameters available before generating the "Staff Information" report.
The following table describes the report parameters of the "Staff Information" report.
Field | Description |
District | Defaults to your district of record. |
Campus | Only campuses you have been given access to in the application display in the drop-down for you to select. Select as many as you would like to include in the report. |
Staff Member | Defaults to all staff members in the application for your district. You can de-select to only choose certain staff members if you prefer. |
Product | Defaults to all products in the application that have been assigned to your district. |
Role | Defaults to all roles available to be assigned to users in the application. You can narrow this list if you choose. |
Status | Defaults to only Active users, but you may also choose to include Inactive users. |
Click View Report after the parameters have been entered. The first section of the report is a grid that identifies staff with missing assignments. The remaining information may then be found in the chart depicted in the next section of this article.
Viewing the Report
To view/sort/filter the chart information, it is recommended that you export the report to CSV format.
Once you open the report in CSV, you may notice that the top section of the spreadsheet does not necessarily contain helpful information. The information is essentially from the "Missing Assignments" grid.
You may need to delete these spreadsheet rows until you come to an area that looks like the image depicted below. The amount of rows you need to delete is dependent upon the size of your district and the number of users missing assignments. It could be a large number of rows.
Once you expand these columns, you can review and verify active user information within the application.
Purpose of the Report
When the report is generated for Active users, the district administrator can check the following items:
- Are there any users Active in the system who should be deactivated?
- Is there any missing or outdated information for Active users that needs to be updated, such as:
- Staff Position (needed to generate a Reset Password link)
- Email address (used when the Reset Password link is needed)
- Campus assignments
- Products assigned
- Roles given
A district administrator can then use this information to deactivate users, as well as update campuses, products, and/or roles.
The user can update the staff position and email address fields by accessing the "Profile" page on the top blue navigation bar in the application. The "Profile" page is accessed by hovering over Welcome and then clicking Profile.
When Inactive Users are included in the report, a district administrator can see if an individual returning to the district had a previous SuccessEd profile with the district that can then be reactivated, rather than creating a new account for the returning staff member.
For new staff members who have active accounts in other districts under a username that is not district-specific, a district administrator will need to submit a support desk ticket to have these staff members added to the district’s SuccessEd application. This often occurs for users who are contracted to complete specific work tasks for the district.
