Preparing for October Snapshot Submission

This article provides step-by-step guidance for preparing for the PEIMS Snapshot in SuccessEd. It explains how to verify PEIMS 163 reports, compare data with your Student Information System (SIS), and ensure all IEP meetings are locked. Following these steps helps maintain accurate reporting and compliance for Special Education data.

Update Your Student Information System for PEIMS Changes

To ensure accurate PEIMS reporting, compare data between SuccessEd and your SIS at the beginning of the school year.

  1. Run the “PEIMS 163 by Snapshot Date” report using the first day of school.
  2. Compare results to the same report run using the last day of the previous school year.
  3. Access this report by navigating to Reports > Programs – Special Education > PEIMS 163 by Snapshot Date.

  4. If you do not have the last day of school report from SuccessEd:
    • Run a comparable report from your Student Information System (SIS).
    • Identify and correct any discrepancies.
  5. If your district is part of an SSA or co-op, verify data for all associated districts

Continue Verifying Information Until the October Snapshot

Ongoing verification ensures data accuracy leading up to the official October PEIMS Snapshot.

  1. Run the “PEIMS 163 by Services Start Date” report using:
    • The last verified date
    • Through the current date
  2. Access this report by navigating to Reports > Programs – Special Education > PEIMS 163 by Services Start Date.

  3. Continue running the “PEIMS 163 by Snapshot Date” report and compare results with your SIS.
  4. If part of an SSA or co-op, verify data across all districts.

Note: Ensure that any IEP meetings held during the Snapshot week are locked immediately, and all PEIMS data are updated in the SIS.

Ensure All IEP Meetings Are Locked

Locked IEP meetings are required for accurate PEIMS reporting.

  1. Run the “Students by Form” report to identify forms still in draft status.
  2. Access this report by navigating to Reports > Programs – Special Education > Students by Form.
  3. Set Form Lock Status = Draft to display incomplete forms.
  4. Use the recommended date range:

    • Start Date: 08/01/current school year
    • End Date: Current date

    This captures all forms created during the school year.

  5. If a form is shared across multiple programs, select the form under each applicable program in the Form Name field.
  6. If part of an SSA or co-op, run this report for all districts.

Note: Lock all IEP meetings held during the Snapshot week as soon as possible and confirm PEIMS data are updated in the SIS.
