Unlocking Forms: Keeping It Clean

Does unlocking a form make you nervous? Justifiably so; however, there are instances when locked forms have a legitimate need to be unlocked. This practice, which is handled at the district level and subject to local guidelines, takes place fairly regularly even though it is performed with caution.

 Permissions: Only users with the Administrator (District) role have the ability to unlock forms, and a reason for unlocking the form is required to complete the action.

When a locked form is unlocked and then relocked, a duplicate PDF is saved on the History Tab.

 Pro Tip: Although there may be instances where there is a need to keep both sets of the same form after a revision has occurred, most of the time, the duplicate should be deleted to avoid confusion and misprinting.

The screenshot below highlights a student’s Section 504 Student Service Plan that was unlocked and relocked, creating a duplicate entry.

Another example is this duplicated set of Annual Goals which now exists for a student after their IEP Meeting goals and objectives form was locked, unlocked, and relocked.

Any user assigned the Deleter [District] role by their District Administrator is able to delete forms. The   ""  displayed in the screenshots above are only visible to users with the Deleter role. Clicking a   ""   deletes unnecessary duplicate files from the history tab.

 Pro Tip: Extreme caution should be taken before deleting a PDF as deleted files are not recoverable. To avoid confusion, it is recommended that the original PDF be deleted prior to relocking the edited form.

Finally, any time a document has been unlocked, edited and relocked, a copy of the new version should be provided to the parent or adult student, along with an explanation of the changes.
