Scheduling for Virtual Using the Alternate

When it comes to scheduling, keep in mind that the Current Schedule should represent the schedule which is going to take place closest to today and be dated as such. (Prior to now, many districts have kept the current schedule as the schedule for what the student would receive if they attended school/brick and mortar.) 

 Pro Tip: As we talk through district settings and determine what would be best for your PEIMs, you will most likely want to use the Current Schedule for how the student will start school, and then put the other learning option on Alternate.

You can date the Alternate as the day after the Current Date or the day of the end of the first grading period (when a change could be made per TEA). For the most part, it is up to you because Program Compliance (PC) is NOT EVER going to read the alternate. Any changes to the PEIMs, as a result of reverting to the Alternate schedule would need to be manually entered in PC.

*Could add Virtual Learning to this Program Name list, as shown below.

 Example:

Your Alternate Schedule, based on the one above, would be dated 8/18/20 or the date of the end of the first grading period, but the notes on the schedule would say that this is the schedule that would be provided through on campus instruction/or in the Brick and Mortar school learning. (This scenario would be flipped if the student started on site and then changed to at home.)

*Could add On Campus Instruction to the "Program Name" list, as shown below.

Again, titles could be added in the Program Name to specify Virtual Learning/At Home or On-Campus Learning to help with keeping up with your students. There is a custom report that you can run to determine who is getting what through the Current Program Name, even if it was entered manually (i.e., Alternate Schedule in effect).

You will probably want to include the services start date so that you will know when that program name began.

PEIMS Summary Report

Another option for reporting and keeping up with who is where and on what schedule is the PEIMs Summary report. Here is a copy of what your PEIMs sheets would look like with the Current and Alternate. If one had done Next, it would be there as well. You can tell the difference by the start date, as described above.

*Note the current schedule (i.e. 8/17/2020) and the alternate schedule (8/18/2020), as shown below.

If you have completed a Next Schedule, it will show here as well. Once you have done the back to school release, you will be able to see the program names on these summary sheets as well because more elements are being added to the Summary form. Try using the CSV export to see a line item for each schedule. You will have to delete some of the columns, but it is handy for this chaotic time of who is doing what.
