Determining Your Status

Social media has elevated the word “status” to a whole new level. Whether one is documenting their socioeconomic, relationship, demographic, or emotional status, each term defines the position of an individual in relation to another or others.

 How It Works: The SuccessEd products utilize statuses to categorize students within each application. The status of each student at any given time allows users to create reports highlighting details of the students or the student group determined by their status.

New Student Status

When a new student is entered into one of the SE Applications, a staff member either enters the data manually or downloads the student demographic, parent and campus information from their Student Information System (SIS) using Connex. Access to the student in a particular program is addressed on the Enrollment tab, and then a student’s status is determined on the Program Compliance tab. This field is highlighted below in an excerpt from page 91 of the SE Admin User Guide:

New School Year Status

Each summer, the SuccessEd rollover prepares student information for the upcoming school year. Students are electronically moved from their current grade to the next grade and, when appropriate, from their current campus to their next current campus as defined on the Enrollment tab. When this happens for a student in special education, the “Next” schedule that was created during an IEP meeting becomes the current schedule. Special education statuses of Initial and Transferred are updated to Active in the system.

Students entered in the application for Section 504, Bilingual/ESL and/or RtI will all be assigned a status of Active. However, almost ALL of the students entered into the Special Education program should have statuses of Referral or Transferred. The Referral status is reserved for those students for whom a Full Individual and Initial Evaluation has been requested. The Transferred status is assigned to students coming into the district who were receiving special education services in their previous district.

 Pro Tip: When the initial placement IEP Meeting is conducted on a student with a Referral status, the status will automatically update to Initial on lock of the IEP meeting form IF the student is found to be eligible. Likewise, a student’s Referral status is updated to DNQ if it is determined by the IEP team that the student does not meet eligibility requirements.

Student statuses of Transferred and Initial remain as the status for these students throughout the school year to allow for tracking on reports. At any given time, a district administrator can check to see how many students have transferred into the district, how many referrals have been completed and resulted in a special education placement, and how many referrals did not qualify. The exception to this rule is when a student withdraws from the district. It is then necessary to manually edit the student’s status. For special education students, the appropriate “inactive” status (e.g., Moved, Withdrawn, Drop Out) would be selected. For students in Section 504, Bilingual/ESL and/or RtI, a status of Not Active is appropriate.
