Adding a New Student (SIS Import)

The Import Student from SIS feature allows districts that subscribe to the Connex download to add a student by importing demographic, enrollment, and program-related information from the Student Information System (SIS). After you import a student, review each tab (“Demographics,” “Parental Information,” “Enrollment,” “Program Compliance,” “State Assessments,” and “Student Services”) to confirm required fields, update program statuses, and save changes.

The “Import Student from SIS” feature is only available for districts that subscribe to the Connex download.

Adding a New Student

  1. Choose Students from the home screen.

  2. Click Add a New Student.
  3. Enter a few characters of the student’s last name to locate the student in the SIS results.
  4. When results appear, locate the correct student and click Import Student from SIS (located to the far right of the student’s name).

Completing Student Information Tabs

The system breaks down the imported student information into six tabs: “Demographics,” “Parental Information,” “Enrollment,” “Program Compliance,” “State Assessments,” and “Student Services.” Click a tab below to review each section.

Demographics

Use the “Demographics” tab to review and confirm required student information pulled from the SIS. Update any fields that are missing or incorrect.

Enter or verify Primary Language and Home Language.

Enter or verify the student’s English Learner Status. The system defaults this field to "English Proficient (EP)" for manual adds and SIS imports, so be sure to select the appropriate value from the dropdown when needed.

Click Save to record changes. To return to the district student list, click Student List (District Administrator role required).

Note: Only users assigned the Administrator [District] user role will see the Student List option.

Parental Info

Use the “Parental Info” tab to review parent or guardian information pulled from the SIS.

Parents or guardians listed in the SIS import and display in this tab. Review the information for accuracy based on district expectations.

Enrollment

Use the “Enrollment” tab to verify the student’s campus assignment and enrollment details after the SIS import.

Click the “Enrollment” tab and enter or verify the following fields:

  • Home Campus (campus the student is zoned to attend)
  • Next Home Campus (campus the student is zoned to attend next year)
  • Current Campus (campus the student is currently attending)
  • Next Current Campus (campus the student will attend next year)
Note: IC = Infant Care; EE = Early Education; GR = Graduated; PS = Post-Secondary. Students in special education beyond grade 12 (18–21 program) should have a "Current Grade" and "Next Grade" of PS until the student ages out. PS students are not moved to the Inactive campus during rollover, and a PEIMS 163 record will be generated.

Select the program(s) where the student should be accessible:

Program(s) What This Controls
Special Education Student appears in the Student dropdown in SE Manager, SE IEP Goals, and SE FIE.
Section 504 Student appears in the Student dropdown in SE 504.
Bilingual/ESL Student appears in the Student dropdown in ELLA.
RTI Student appears in the Student dropdown in RTI.

Click Save to record changes. You can also click Student List to return to the “Edit/List Students” page or click Delete to remove the student record (based on role permissions).

Note: Only users with the Deleter [District] role can remove a student. Only users with the Administrator [District] role can use Student List to return to the “Edit/List Students” page.

Program Compliance

Use the “Program Compliance” tab to review program sections and update program-specific fields and statuses after importing the student from SIS.

At the top of this tab, program hyperlinks take you directly to each program section: Special Education, Bilingual/ESL, Gifted and Talented, Section 504, RTI, Dyslexia, and Medicaid.

The Status dropdown in each section controls whether forms can be created and edited for that program. Update the status as needed based on district procedures. The images below show examples of program status areas.

Special Education

Special education status changes may occur automatically when forms are locked or during rollover. When a student is first added through SIS import, select an appropriate special education status based on the student’s situation (for example, "Transferred" for a student already eligible in another district, or "Referral" for a student being referred for evaluation).

Some events require a manual status update (for example, a student who drops out, moves out of the district, or is withdrawn). When updating status for transfers or withdrawals, also review enrollment fields such as "Date Student Entered District," "Previous School District," "Records Received On," "Date Student Left District," "Next School District," and "Records Forwarded On."

Status changes commonly triggered by locking forms include: "Initial," "Private/Home," "Transferred," -"Dismissal," "DNQ," and "Parent Revocation."

Status Description
Active Student is currently receiving special education services.
Dismissal The ARD committee has determined the student is no longer eligible for special education and related services.
District Declined Eval This status is manually selected when the district declines to evaluate the student.
DNQ Student was a Referral prior to completion and locking of the IEP meeting form, but the ARD committee does not find the student eligible for special education and/or related services.
Drop Out Student has dropped out of school and is no longer enrolled in the district.
Graduated Student has graduated.
Initial Student was a referral, found eligible, and the first IEP meeting has been locked.
Moved Student received special education services during the current school year and moved to another school district.
Not Active Student is not in special education and does not fit in any of the other categories.
Not Enrolled Student is tracked by the district for reporting purposes, but is not enrolled.
Other Student is deceased, completed GED, etc.; does not include students who moved to another district, was institutionalized, incarcerated, or enrolled in private school.
Parent Declined Eval This status is manually selected or automatically populated upon locking the Consent for Evaluation when "Type of Consent" is "Initial" and the parent response is “No” to permission for testing.
Parent Refusal Student was found eligible, but parent(s) refused services.
Parent Revocation Student is receiving services and parent(s) revokes permission in writing.
Private/Home Student receives services through a service plan and is enrolled in private school or home school.
Referral Student has been referred for evaluation but has not had an IEP meeting.
Transferred Student arrives from another district and already qualifies for special education.
Withdrawal Student was expected to enroll on the first day of school but was a “No Show.” No services were provided during the current school year.

Bilingual/ESL

For forms to be editable in ELLA, the student must have a status of "Active." Drafted or locked forms for students with inactive statuses can be viewed or printed, but new forms cannot be added or edited.

Status Description
Active Student is active so forms can be added, edited, and locked. In ELLA, this includes monitored students.
Denial Parent denies permission for the student to participate in the bilingual/ESL program.
DNQ Student has a primary language other than English but is found ineligible for services.
Not Active Student is not in bilingual/ESL and does not fit other categories.
Return to General Ed. Student has completed monitoring and is no longer considered bilingual/EL in the application. If the student is not "Active" in another program, they may move to the "Inactive" campus after rollover.
Withdrawn Student was expected to enroll on the first day but was a “No Show.” No services were provided during the current school year.

Section 504

For forms to be editable in SE 504, the student must have a status of "Active" or "Referral." Drafted or locked forms for students with inactive statuses can be viewed or printed, but new forms cannot be added or edited.

If the status is "Referral," locking the “Section 504 Evaluation” form with one of the decisions below automatically changes the student’s status to "Active":

  • 504 Eligible + Plan;
  • 504 Eligible + Plan + Dyslexia Services;
  • 504 Eligible + No Plan (In Remission);
  • 504 Eligible + No Plan (Mitigating Measures);
  • 504 Eligible + No Implemented Plan (Refusal/Revocation of Consent for Services); or
  • No changes to 504 Plan

If the status is "Referral" or "Active," locking the “Section 504 Evaluation” form with one of the decisions below automatically changes the student’s status to "Not Active":

  • Not 504 Eligible;
  • Dismissal from 504; or
  • IDEA Eligible and 504 Dismissal

RTI

For forms to be editable in RTI, the student must have a status of "Active." Drafted or locked forms for students with nonactive statuses can be viewed or printed, but new forms cannot be added or edited.

For bilingual/EL students, choose the Parent Permission Code from the dropdown.

For students with dyslexia, choose the Dyslexia Risk Code and Dyslexia Services Code as applicable.

If you update Program Compliance fields, click Save. To return to the “Edit/List Students” page, click Student List.

Note: Only users with the Administrator [District] user role will see the Student List option.

State Assessments

Use the “State Assessments” tab to review assessment results that have been imported or manually entered for the student.

If scores were not imported, click Add New Record to enter them manually. Manual entry is typically used for transfer students whose scores were not included in district imports.

Click Delete to remove a score that was manually entered.

Student Services

Use the “Student Services” tab to view a snapshot of current services and accommodations based on locked program forms.

The "Student Services" screen displays services and accommodations pulled from a locked IEP meeting, Section 504 student services plan, ELL plan, or tier form.

Click Print to print the information shown on the screen.
